INTERNSHIP - PRODUCTION AND ADMINISTRATIVE ASSISTANT

Indie Montréal (IMTL) is looking for a production & administrative assistant intern.

Indie Montréal is an à-la-carte services company serving businesses, nonprofit organizations), and artists, based in Quebec and established since 2007.

We're a small, passionate team, and this position will be a collaborative effort, overseen by an experienced team rooted in the Quebec cultural community.

Dates: March 30 to September 30, 2026 (Spring/Summer session)

Duration: 5 to 6 months minimum

Hours: Internship at 25 hours per week

Responsibilities:

>> Booking (70%)

  • Monitor inbox reception and respond to confirmations of emails sent to the dedicated accounting address

  • Sort invoices and file them in our archives (Synology/SharePoint)

  • Scan paper invoices and receipts, and insert them into our accounting system

  • Compile received cheques

  • Digitize documents and maintain both digital and paper versions

  • Enter invoice data (between companies and clients)

  • Validate each employee’s and intern’s timesheets

  • Assist with month-end bank reconciliation in collaboration with the Accountant

  • Assist with month-end credit card reconciliation

  • Track accounts receivable on a monthly basis

  • Monitor contract signatures in the various streams with the General Director

  • Compile information for production advances

  • Update show offers and calls for artist showcases

Profile required:

  • Ongoing training and/or professional experience in administration, management;

  • Good knowledge of Microsoft Office (Word, Excel) and Teams, an asset ;

  • Autonomous, rigorous, detail-oriented and organized;

  • Welcoming, friendly and sociable person;

  • A special interest in music, arts and culture;

  • Comfortable working under pressure with tight deadlines.
